Position Title: Financial Operations Coordinator

From its inception, Olin College has sought a team of faculty, administrators and support staff who understand its mission and can help to develop this innovative college in Needham, MA.  As with many growing organizations, it is imperative to hire individuals who not only carry out their own immediate responsibilities, but who also can contribute to other offices, functions and activities outside the normal scope of a job description.  In other words, we are looking for "team players" who understand and support the mission of the college.

Primary Duties and Responsibilities:

  • Review payment requests for vendor payables and expense reimbursements in accordance with College policies, including verifying proper signature, support, totals and due dates
  • Data entry into the ledger for Accounts Payable vendor invoices and expense reimbursements
  • Data entry into the ledger for receipts including student payments, gifts, grants and other receipts 
  • Update the system for new vendors and changes to addresses
  • Loading, refunding, or writing off funds to individual and department Olin Cards
  • File and maintain books and records to ensure efficient document retrieval
  • Reconcile petty cash monthly
  • Notify vendors when ACH payments have been made
  • Compile data for the quarterly President’s report for review by the Senior Accountant

Other Duties:

  • Assist with vendor master maintenance
  • Sort and distribute Financial Affairs mail
  • Process gift checks received
  • Assist with review of monthly purchasing card reports as needed
  • Provide backup support within the team as needed
  • Assist with the annual fiscal year audit
  • Other duties as assigned

Minimum Requirements:

  • High School Diploma or equivalent accepted with an Associates Degree in accounting, business administration, or related field preferred
  • Demonstrated understanding of clerical accounting principles
  • Knowledge of Microsoft Office Outlook, Excel and Word
  • Demonstrated ability to learn and use new or unfamiliar systems
  • Strong attention to detail
  • Evidence of an ability to prioritize and organize tasks
  • Excellent interpersonal skills with an ability to interact in a positive, professional and courteous manner with individuals at all levels
